Form W-9, the IRS's "Request for Taxpayer Identification Number and Certification," is the form every US business asks new contractors, freelancers, and vendors to complete before sending them any money. A company that pays you $600 or more in a year needs your tax identification number on file so they can issue you (and the IRS) a 1099-NEC at year-end. The W-9 is how they collect that number. The form itself is short — one page, eight numbered fields, a signature, and a date — but mistakes on it can delay your first invoice or trigger backup withholding at 24%, so it's worth filling out carefully.

If you're a single-person LLC, the correct tax classification is almost always "Individual/sole proprietor or single-member LLC" unless you've filed Form 8832 or Form 2553 to elect S-corp or C-corp tax treatment — most freelancers haven't. Some platforms re-request the form annually as a compliance hygiene step; that's their internal policy, not an IRS requirement.

Do I sign the W-9?

Can I send my completed W-9 by email?

Only over an encrypted channel. A W-9 contains your SSN — the single most valuable piece of identity-theft material out there. Use the vendor portal your client provides (most platforms have one), or send it password-protected with the password delivered through a different channel. Never DM it on Slack, never paste it into ChatGPT or any LLM. Fax is fine if your client is old-school.
